Main Page
You will get to the Main Page as soon as you log in. It can also be reached by clicking on System -> Return to Main Menu.
This page contains several categories. To see them all, go to http://www.freemed.info/freemed/main.php
The categories are:
1. Patient Scheduler:
These are calendars for health care providers. It allows providers to see patients being seen on a certain day and all patients being seen in a certain week.
Clicking on "appointment(s) today" shows you today's calendar. However you can then choose any other day.
Clicking on "appointment(s) this week" shows you this week's calendar. The buttons on the top corners take you to past and future weeks.
2. Work Lists
You may not see this category unless it has been enabled for you. To enable viewing of work lists, click on Main -> Administrative Menu -> System Configuration -> Work Lists and then choose enable and the users who will see it.
Once Work Lists are enabled you will see all of the patients coming to the office today, the time of their appointments and their status.
If you click on the letters directly beneath the word Status, you will see a drop-down list of A3C (Anticipating Arrival at Counter), CIAC (Checked in at Counter), E/PIP (Encounter/Procedure in Progress), E/PIC (Encounter/Procedure is Complete), CO (Checked out) and NS (No Show). If you forget what these letter mean, just put the mouse pointer in the letters without clicking. You will then see the explanation for each set of letters.
If you see that the work list of a provider lists a time and no patient, it means that the provider has a scheduled activity. The provider may be traveling from the hospital to the office for instance.
3. Unread Faxes
You cannot see the contents of this category unless you have the djvu plugin installed. Please see http://www.freemed.info/freemed/start2.html for further information about this.
If you are elsewhere in the FreeMED and would like to see the Unread Faxes, click on Notify on the top of the page. You can then chose Unread Faxes.
The name Unread Faxes is a slight misnomer. This category contains scanned records and faxes that have been routed to the provider.
As one can surmise, it is possible to scan and fax directly into FreeMED. Once the documents have been routed to the Provider, they will appear as an Unread Faxes.
If you click on [Read], you will see list of documents, the dates of the documents, the name of the patient in whose chart the record will be filed and the description of what is contained in each document.
If you then click on View, you will see the actual document.
At the bottom of the document you will see that the provider can "Sign" the document (which will file it in the patient's chart), the provider can "Cancel" viewing the document, "Send to Another Provider' if the document should have gone to another provider and "Delete" the document if it is a duplicate of a record already in the chart or if it is unimportant in some other way.
4. Unread Messages
These are messages addressed to the user. If you click on [View], you will see all your unread messages. You can also get to the messages by clicking on the envelope next to the user name at the bottom of every page.
FreeMED contains an intraoffice messaging system so that one does not need to look elsewhere for messages. Once you click on [View], you are in this system.
You can "Send Message" (send a new message) to another user, you can view "Old Messages" which you saved, you can return to the "Main Menu", you can "Select All" messages in case you want to mark them all for deletion or if you want to save them all.
Next to the Inbox, there is an arrow with a drop down menu. The drop down menu displays the "Sent" category and any other mail boxes that you have created.
To create a new mail box put the cursor in the box to the right of the box that contains the ---> symbol. (The cursor can't be seen in this box but it is there. Then type the name of the mailbox that you would like. Now put a check mark in front of the message that you would like to save in this new mail box. Now click on "Tag". This automatically creates the new mail box and moves the message into it.
You can click on "Mark as Read", in which case the message will be moved into "Old Messages".
Lastly, you can click on "Delete Marked Messages" to delete the messages that have a check mark in front of them.
5. Unfiled Faxes
These are documents that just have been scanned into or faxed into FreeMED. "Unfiled Faxes" are generally viewed by the staff. To set who will see Unfiled Faxes, go to Main -> Administrative Menu -> System Configuration -> Unfiled Faxes. You can then set who will see Unfiled Faxes.
If you click on [File], you will be taken to list of all Unfiled Faxes. You can "Del" a document or you can "View" it.
If you click on View, you will see the document and data that has to be attached to file the document. You need to attach a "Date" the document. This is usually the date that the document was generated, such as the date of an operative report.
In the next blank you can choose the name of the patient with whom the document is associated. Typing just a portion of the name will enter the complete patient name.
In Physician, one would set the Health Care provider whose name is on the document and who should see it.
Next to "Type" is a drop down menu that lets you choose where the document will be filed, ie. whether it will be filed as an operative report, laboratory report, radiology report, etc..
Next to "Note" you can write what the document is such as: Right hemicolectomy, adenocarcinoma with penetration of wall with extension in the adjacent fat, etc.
Nest to "Notify", you would enter the name of another person who should be aware of this report. For instance, you would want to notify the billing department when you are filing an operative report.
Next to "Fax Confirmation" you would enter the phone number of the medical records department of the hospital if that department request an acknowledgment that you have received the fax. Once the document is filed, the acknowledgment will automatically be sent to the medical records department.
You would click on "Flip" if you have received a fax upside down and you want to file it right side up.
You can then click on "Send to Provider" so that it will be seen by the provider as an Unread Fax.
You can click on "Send to Provider without First Page". You would do this if the cover page is unimportant.
You can click on "File Directly". This will file the document in the patient's chart. You would do this in case of documents that have been reviewed at the hospital or elsewhere already.
You can click on "File directly without First Page". This files the document in the chart without the cover page.
You can click on "Split Batch". If you have received one fax from the hospital containing multiple records, you can split the batch and then file the documents individually.
You can click on "Cancel" to stop viewing this document and to go back to the list of "Unfiled Faxes".
You can "Delete" the document.
